Assistant Account Coordinator

This is a fantastic opportunity to join a leading global licensing specialist within sport and fashion, based at their London Head Office. You will support the Account Coordinators to ensure customer orders are set up accurately, processed efficiently and delivered on time, working closely with internal teams across logistics, finance, warehouse and sampling.

This role is ideal for someone who thrives in a fast-paced environment, enjoys working with data and order management, and takes pride in accuracy, organisation and excellent customer service.

Main responsibilities will include:

  • Setting up customer buy sheets with key information to enable customers to raise orders
  • Sending required data to customers and ensuring all order information is captured accurately
  • Adding all order details to the buy plan, including quantities, size breakdowns and purchase order numbers
  • Reconciling purchase orders and checking all details are correct
  • Creating sales orders in SAP accurately and within set timeframes
  • Managing sales orders, processing changes where needed, and ensuring orders are sent to the warehouse on time
  • Working closely with logistics to ensure orders are handled smoothly and escalating any delays to the Account Coordinator
  • Refreshing available stock reports for weekly trading updates
  • Reviewing weekly sold-out styles and sharing details with the Sample Coordinator
  • Running weekly critical path reports and sending updates to customers
  • Working with finance to resolve invoice queries
  • Coordinating samples for buyer meetings, tracking returns, and supporting meeting preparation
  • Supporting with new customer set ups, ensuring manuals and key documents are shared with relevant internal teams
  • Acting as a key contact for customers for day-to-day order queries

Person specification:

  • Highly motivated, deadline-driven and able to prioritise in a fast-paced environment
  • Organised with a high level of accuracy and attention to detail
  • Proactive, solution-focused and able to learn quickly
  • Strong communication skills and confidence dealing with customers
  • Intermediate to advanced Excel skills, including VLOOKUPs, Pivot Tables and SUMIFS
  • Experience using SAP is beneficial but not essential
