Job description

We're looking for an organised, proactive, and detail-loving Wholesale Administrator to join our growing team! You'll be right at the heart of our wholesale operation, keeping things running smoothly from order to delivery, working with amazing global clients, and collaborating with teams across the business.

Main Responsibilities Will Include:

  • Be the go-to support for our Wholesale Operations Lead, helping manage the end-to-end dispatch process - tracking shipments, updating teams, and keeping customers in the loop.
  • Create and send invoices for all customers, double-checking accuracy and following each client's preferred process.
  • Keep our returns log up to date so everything runs smoothly behind the scenes.
  • Communicate with clients - sharing packing lists, tracking info, delivery updates, and making sure they always know what's going on.
  • Maintain accurate customer info in NetSuite (training provided if you haven't used it before).
  • Support Sales and Finance with reporting on dispatch progress and tracking performance vs timelines.
  • Work with our 3PL partner and internal teams to sort any issues quickly and efficiently.
  • Collaborate with Sales and Ops to make sure all order details are spot-on before invoicing. Solve discrepancies or mismatches between orders and invoices - you'll be the detective who gets to the bottom of it!

  • You communicate clearly and confidently - whether it's with a client or your team
  • You're great at multitasking and can handle deadlines without breaking a sweat.
  • You're confident using Excel or Google Sheets, and you're always keen to learn new systems (like NetSuite).
  • You're proactive, team-oriented, and not afraid to take ownership.
