Job Description
We are looking for an Executive PA to the CEO of a large global apparel and manufacturing company. This is an exciting, challenging and but immensely rewarding job in a highly renowned international fashion company. The successful candidate will be the CEO's right-hand person; and should be comfortable taking on a mixture of personal and professional work. The right person must be unflappable pro-active with high attention to detail. Determined, confident with a can-do attitude coupled with previous experience working for a high-profile executive and not be phased by working to tight deadlines and taking on a varied workload.
Key responsibilities will include:
- Run the offices of the CEO and provide administrative and secretarial support.
- Manage an extremely busy complex diary across multiple time zones
- Manage communications with international associatesdaily & communicate effectively and efficiently with all levels of management both internally and externally
- Organise complex multi stop travel arrangements, events, board meetings, management meetings, collation of agenda's reports and presentations.
- Ensure the CEO is in possession of all relevant information in advance of meetings
- Prepare papers & reports, conduct additional research where necessary.
- Arrange all internal and external meetings/calls/VCs across different time zones
- Liaise with the recruitment agencies
- Follow up on staff actions agreed at meetings with the Directors.
- Schedule and confirm all internal business review and common calls as and when requested by Finance department.
- Process, check and return all the documentation as and when requested by overseas based companies
- Register CEO and Business Heads for supplier conferences as and when requested, liaise with suppliers regarding any arrangements / requests that might become necessary.
- Ensure that CEO'S homes are well maintained - including organising and overseeing all the repairs as well as calling out contractors.
- Process all household invoices and arrange for payment of any household bills and expenses
- Coordinate travel arrangements for CEO
- Research and book family holidays.
- Organise events, dinner parties, on-site catering, charity events,
- Oversee vehicle maintenance
- Book restaurants and other entertainment
Person specification:
- Extensive experience within a PA/EA role at Senior Level
- Exceptionally strong written and verbal communication skills
- Superior organisational skills and be able toprioritize a busy workload and work independently
- Total Confidentiality is essential
- Excellent problem solving skills
- Strong Negotiation skills
- This role requires someone who is tactful, super-efficient and flexible with a 'can do' attitude
- Detail Oriented
- Able to Multi-Task
- Driving license and access to a vehicle are desirable
- Excellent computer skills - MS word/outlook/excel/PowerPoint
- Degree Qualified
