Job Description

I am currently partnered with a wonderful luxury fashion and homeware brand growing rapidly. I am seeking an EA to support the CEO of this fun, creative and vibrant company.

Main Responsibilities will include:

  • Manage CEO's calendar by seamlessly scheduling all meetings, appointments, and travel
  • Assisting CEO with special projects, presentations, reports and admin tasks
  • Handle on-site meetings, to include, room set-up, catering, prepping digital and hardcopies of meeting materials
  • Complete reports and documentation for CEO & board
  • Handle CEO's meeting and travel arrangements
  • Coordinate team activities and events
  • Manage CEO's expense filing & reporting
  • Assist with ordering and prep for events
  • Supplier Management
  • Support on any admin-related tasks
  • Manage project timelines and follow-up with team members and external contacts where required
  • Liaise with other staff members and external contacts on behalf of CEO
  • Collate weekly and monthly reports from team
  • Handle HR and recruitment duties, including on-boarding new staff members and providing training where necessary
  • Manage email, phone, and in-person communication with professionalism and efficiency
  • Prepare meeting agendas, perform research for meetings, and take minutes, follow up on key take-aways from the meetings
  • Assist CEO with personal tasks when required

Person Specification:

  • 2-3+ years of experience as a PA or EA
  • Passion for a nature and an animal lover would be ideal!
  • Excellent organisational skills
  • Excellent communication skills with the ability to clearly articulate needs and prioritise effectively
  • Working knowledge of the industry and brand landscape
  • Excellent verbal, analytical, organisational, and written skills
  • Experience working with a team in a fast-paced setting
  • Ability to work under pressure
  • Interest in luxury design / interiors /
  • Proficiency in Microsoft Office, and an ability to pick up software such as task management tools
  • Hard working with a positive attitude
  • Open-minded and flexible - able to respond to changing circumstances and keep a cool head under pressure
  • Problem solver with a common sense approach
  • Adept at working across multiple projects, highly motivated with the ability to plan, work and manage your own time with a high degree of independence and autonomy
  • Team player with a professional and friendly attitude
  • Be proactive and find or be the solution to a problem
